GTD and your Email Inbox

Filed under: GTD, Life, Technology — Bruce @ 10:08 pm

My solution to an email inbox that’s filled with reading material — newsletters, announcements, articles, etc…  is…

I call it my READING email account.

I NEVER allow subscriptions to newsletters to enter my normal email — only PERSONALLY composed messages from one person, to me.

All newsletter subscriptions, Google News Alerts, and RSS Feeds (courtesy of the magic of the free rssfwd.com), go to my READING EMAIL ACCOUNT.

My normal MESSAGING email account is bruce@my_own_name.com

My READING materials are sent to reading@my_own_name.com

That way,

(1)  If I don’t get a chance to look at the newsletter, it doesn’t really matter.  It’s still there if I need it.
(2)  If I’m in the mood to do some reading, it’s all in one place — and nothing else is there but reading.  And,
(3)  My normal email Inbox contains NOTHING but personal messages I need to deal with — no reading.

PS – I also have another email address, called todo@my_own_name.com

I forward all ToDo tasks to myself at that address.  Then, I have all of them in one place, so I can copy them all to my GTD lists en mass.

Creating a Universally Synch’d Master Address Book

Filed under: GTD, Google — Bruce @ 2:38 pm

Why is the Contacts printing function so RUDIMENTARY?

Why can’t it print a nicely formatted Contact List that looks like an
Address Book….  similar to the nicely formatted calendars that
Google Calendar prints…?

The Gmail Contacts PRINT function prints only ONE phone number
(randomly printing the person’s “home” phone only?!), and only one
email address, and only one address, and None of the other information
about that person…!

It’s horrible!

When will Google fix this?

In the meantime, has anyone come up with a good work-around for
this?    Like a good way of Exporting the Contacts, then Importing
them into some other program (like Evolution), and printing them from
there…?

UPDATE:

As for a Work-Around in the meantime….

I think I solved my own problem.

Here’s what I did….  And it works Brilliantly!

Go to Gmail Contacts and click on EXPORT,
Export one Group at a time….. into a vCard format file (for example, export your group called “Friends” or “Family”), then
Open Evolution (evolution is the free open source version of Outlook, but much better. it’s included with Ubuntu. see ubuntu.com and http://www.novell.com/products/desktop/features/evolution.html )
Click on Contacts.
Within Evolution….
Click File –> New –> New Addressbook
Create a new addressbook called “Friends” or “Family” (whichever Group you exported from Gmail Contacts).  Next,
Click File –> Import   Then,
“import single file”, then
select the vCard file you had exported, then
Select the matching new Address Book you created within Evolution.
It’s imported.
Next, click on that Addressbook within Evolution, and click File –> Print.

You’ll love the nicely formatted printed results.   You can then three-hole punch the pages as a backup and/or portable copy for your briefcase.
Not to mention that you now have them all in your Evolution too!

Remember, your PRINTED copy is your MASTER copy.  Mark up all additions and changes in INK on your printed copy.   Then, whenever, at your convenience, enter all the changes and additions from your PRINTED copy into your Gmail Contacts.   Then, simply Export the Group again, delete all contacts from that Addressbook in Evolution, and Import them all again from the vCard file again, then print it from Evolution again.

It sounds like a lot of work, but you can do it all in about 10 seconds!   (not counting the printer’s printing time :-)

You Really Need This! (even if you don’t know it yet.)

Filed under: GTD — Bruce @ 5:43 pm

What is GTD? …and what about GTDF?

Just get this.

Don’t ask questions.

Just get this.

Listen to the audiobook.

Then, listen to it again.

And again.

Until you really get it.

Transformational….. in it’s Simplicity.

A beautiful thing.

Getting Things Done Fast (audiobook) by David Allen

A quote from the 43 Folders productivity blog: “You could argue that the holy grail in GTD media these days is the woefully out-of-print ‘Getting Things Done FAST’ CD set that DavidCo put out a few years ago. It’s eight (8) CDs of audio material covering the popular multi-day seminar that David did a few years back.”

This is out of print and regularly sells for over $250 on eBay. Available free via uTorrent download, of course.

__________

GTD is the popular shorthand for “Getting Things Done”, the groundbreaking work-life management system and book by David Allen that transforms personal overwhelm and overload into an integrated system of stress-free productivity.

Sophisticated without being confining, the subtle effectiveness of GTD lies in its radically common sense notion that with a complete and current inventory of all your commitments, organized and reviewed in a systematic way, you can focus clearly, view your world from optimal angles and make trusted choices about what to do (and not do) at any moment. GTD embodies an easy, step-by-step and highly efficient method for achieving this relaxed, productive state. It includes:

  • Capturing anything and everything that has your attention
  • Defining actionable things discretely into outcomes and concrete next steps
  • Organizing reminders and information in the most streamlined way, in appropriate categories, based on how and when you need to access them
  • Keeping current and “on your game” with appropriately frequent reviews of the six horizons of your commitments (purpose, vision, goals, areas of focus, projects, and actions)

Implementing GTD alleviates the feeling of overwhelm, instills confidence, and releases a flood of creative energy. It provides structure without constraint, managing details with maximum flexibility. The system rigorously adheres to the core principles of productivity, while allowing tremendous freedom in the “how.” The only “right” way to do GTD is getting meaningful things done with truly the least amount of invested attention and energy. David Allen, coaching thousands of people, where they work, about their work, has informed the GTD method with the best practices of how to work (and live), in that most efficient and productive way.

TIP: Very Effective: Follow along in the PDF Workbook (included in the above torrent) — either print it on paper, or at least follow along on the screen — as you listen to the program.
